Stuck on what you should tweet next?
Just can’t work out how to beat the Instagram algorithm?
And what the hell is Tik Tok?
We’ve all been there.
Struggling to figure out just how to market ourselves - well, our business - in the age of the internet.
But, honestly, online marketing is an integral part of your business's success.
And with billions of people logging on to these sites every day, it’s easy to see why.
I understand that not everyone is equipped to use these apps though.
Or maybe you just don’t have the time to use them.
That’s where a virtual assistant comes in.
I bet you didn’t know that there were different types of VA.
Yep, you can even find one who actually specialises in marketing.
I just spoke to one of our clients who did just that.
And it was the best thing they've ever done - (their words, not mine).
Two years ago, they were exactly where you are now.
They knew that avoiding adequate usage of social media sites was detrimental to the success of their small business…
But they also knew that they had way too many other tasks to do to ‘waste their time’ tweeting.
The other tasks were important in the sense that they had to be done.
But they weren’t essential to the success of their business.
Not like marketing was.
After all, how could they expect to gain new customers if they only spent 20 minutes per day connecting with their followers?
On a chance encounter in a coffee shop, they bumped into an old friend who had just become a VA (and happened to get jobs through us).
They said they had no idea what a virtual assistant was, but let her explain it to them.
As great as they thought her role sounded, they didn’t think it was for them.
They hadn’t made a lot of profit yet.
Plus, they were a brand new company.
They told me that they thought it felt cheeky to hire an assistant, when they'd barely taken their first steps into the industry.
I decided to give them some advice, which they claimed always stuck with them.
“Every successful company you’ve ever heard of only become well-known because they outsourced help.
They didn’t wait until they were making millions to get it.
And they didn’t spend millions either.”
They knew I was right, why should they wait?
What did they honestly have to lose?
For just ||$||6.50||$|| - almost the same price as their typical Starbucks order- they asked for my help in hiring her for an hour.
Kind of like a trial shift.
2 years later, they're still using her services.
In fact, they've actually expanded to a team of 9 virtual assistants now, with 4 of those focused solely on marketing.
Hiring a VA was the best decision they ever made.
And I want to show you why hiring one is essential for your business's success too.
I’ve been throwing the term ‘virtual assistant’ around a lot.
But what exactly is it?
Well, they’re an assistant that works for you...virtually.
It really is as simple as that.
They’re a freelancer you outsource to work for you in tasks that are integral for your business's success.
They’re heaps better than an in-house employee (but we’ll get into that later) .
And save you so much money.
All while significantly increasing your profits!
It is predicted that on average, 75% of marketing budgets will soon be dedicated purely to digital marketing.
Didn't know that fact? No idea why?
You need a marketing VA.
Have I got some news for you.
There isn’t a way that they can’t improve your marketing game.
Everything they do, no matter how big or small the task, will help you immensely.
Oh - and their help will improve your work life balance too - seeing as you’re not wasting time on time-consuming tasks anymore.
But, let’s take a closer look at the exact jobs they can do for you.
If you’re anything like me, you type fast.
Usain Bolt fast.
And most of the time, you’ve been writing all day.
And we all know after constantly staring at a computer screen, you just gloss over mistakes.
No one wants an ad going out that’s full of spelling errors - it makes it look spammy.
And who’s going to purchase something from a spam company?
That’s right, no one.
Well, this won’t be a problem for you - not anymore.
Think of your VA like a sieve.
They’re there to catch anything you miss!
Need to film a video?
They’re waiting with the camera.
Want to edit a photo-bomber out of your brochure?
Not to worry, they’ve spent 3 years Photoshop training, waiting for this moment.
Need a blog post written ASAP?
Have no fear, they’ve already researched the subject and are trawling your style guide as we speak!
They can create amazing content for you, which is great if you don’t have the time or ability to do the same.
We all know that to improve our posts reach, we have to be churning out content every day.
One post a day doesn’t sound too hard, does it?
Not until you remember you’ve got to do the school run today, cook dinner tonight - and you haven’t even started on your tax return.
It may only take 2 seconds to post a quick promo tweet.
But you must remember all the time you have to spend;
- Researching The Subject
- Analysing Your Audience
- Discovering The Best Times To Post
- Drafting The Tweet
(Don’t even get me started on crafting some kind of cohesive, cross-platform strategy ).
Your ‘quick tweet’ could easily end up taking an hour to complete.
But shouldn’t have to spend your precious time doing that.
It’s an easy enough task to outsource.
So why waste time doing something your VA could do for you?
4 times as many consumers would rather watch a video than read about your product.
Not sure how to make a video that showcases your product?
Then it's time to hire a marketing VA!
To ensure the success of your business, you need a solid marketing plan.
And it’s not as simple as just writing “if I tweet 10X a day instead of 5, my reach will probably double = more sales.”
This is where your VA can help.
Study Market Trends;
to see if there’s a new app out, or one you should now disregard completely, etc.
- Analyse How Fast Your Profits Are Rising; to see if you’re making money as expected, and how to accelerate the growth.
- Research Your Competitors; to see if they’re facing the same problems as you or meeting a similar sales quota, etc.
- Keep A Check On Sales Made; to ensure you’re meeting your monthly quota.
Using these four things, they can look for any similarities or anomalies by comparing your profile and sales results with your rivals.
They can also use market trends to see if there are any new sites you should be advertising on etc.

Want to know what I think of businesses that don’t hire a VA?
I think they’re wasting their time.
Harsh, but true.
The majority of the tasks businesses owners do on a day-to-day basis not only take up the most time - but they don’t add any value to your business.
Yes, it’s great that you’ve managed to email 235 customers today with your monthly newsletter.
But has it actually got you any new customers?
So why did you waste 4.5 hours on a task that won’t even increase your profits?
You could’ve spent that time putting out new ads instead.
With a VA, you won’t need to do these wasteful tasks anymore.
And don’t try to argue with me.
“Oh, I only send a quick email every now and again.”
Although the tasks you do may be quick, the time spent on them adds up - rather quickly, I might add.
Picture these ‘little tasks’ as chocolate.
Yes, you’re only having a couple of squares every now and again.
But before you realise it, those squares have added up and you’ve put on two stone.
Not great, is it?
I want you to do something.
Trust me, it will help.
Write down every task you have to do on a day-to-day basis in this chart.
|Title of the table here|
|Essential Tasks||Non-Essential Tasks||Tasks I Hate||Tasks I Don’t Understand|
These are tasks that are essential to the success of your business, and you aren’t able to pass onto someone else to complete.
After surveying our clients, we found the majority thought this was live-streaming.
Many of them get a lot of new leads from talking to their audiences this way.
The company owner (in our clients' cases) is the face of their business, so a VA couldn’t step into the videos in their place.
The best days to send marketing emails are Tuesday, Wednesday, and Thursday.
Not sure how to harness that information.
Well, someone does.
These tasks still need to be done.
But there’s no urgency or strict time-frame behind them.
For a selection of our clients, this is competitor analysis.
It’s nice to know where their sales are, in comparison to other companies…
But they don’t need to go out of their way every day to see what they’re doing.
These are the tasks that make you want to stick your hand in a blender, rather than spend another second on them.
For a small portion of our clients, this is proofreading.
There are only so many times in a day they can re-read the same piece of content without their eyes exploding - hey, they said it, not me.
If you’re not enjoying a task, outsource it.
It will save your brain from turning to mush.
These are the tasks that, for whatever reason, you just don’t understand.
Maybe you’re not trained in this particular area?
For the last client I spoke to, this was website maintenance.
The code on their website has to be changed every now and again - when new products come out for example.
And they had absolutely no idea how to do that.
When you hire a VA, you do it based on skillset.
So that client, for example, would only hire one that specializes in website maintenance!
There’s such a wide price range when it comes to VAs, it’s hard to narrow it down.
They can charge anything from ||$||1||$|| to ||$||633||$|| if they like.
As freelancers, it’s completely up to them what they charge.
So they charge what they think their services are worth.
You may be able to score a discount though if you book hours with them in bulk!
And the price depends on the urgency of your task.
If you want to hire them for a task that needs to be finished within the hour, it would be courteous to pay them double.
After all, they’re dropping everything to help you out.
But don’t worry, they’re still cheaper than hiring a salaried staff member!

A good relationship is essential for a successful partnership with your VA.
Take a look at my top tips to find out how you can get the most out of this union.
|Provide Frequent Evaluations|
They need to know if they’re on the right path when completing projects.
You can’t expect them to just know if they’ve done a good job or not.
Let them know what they’ve done well and if there are any areas in which you want to change the way they work!
|Don’t Micromanage Them|
This is so annoying.
They don’t need someone constantly peeking over their shoulder (virtually) - it’s so off-putting.
You need to trust them to do what you’ve asked.
They’re trained in this and if they really didn’t understand a task, they would tell you!
Make yourself available to answer any of their queries and direct them on new tasks you want them to do.
Have a discussion about what’s going well and what can be improved.
The frequency you have these conversations is entirely up to you.
But I recommend at least once a week!
